Acknowledgment checklist for gift records
Open your gift list, type the gift amount to check from, and tick the columns that must not be blank for those gifts, such as the date a thank-you letter went out. The tool lists each gift at or above your amount with a blank in one of those columns. The amount and the checklist are your own choices; nothing is filled in for you.
The gift list is read in your browser and stays on this device. Nothing is uploaded.
The file is read in this browser and is not uploaded.
These are matched from the header words. Check them and change any that are wrong.
Both choices are yours and nothing is filled in for you: the gift amount to check from, and which columns of your file must not be blank for those gifts.
Columns that must not be blank
Summary
Gifts with a blank checklist element
By element
This tool compares your gift list with the checklist you set. It does not say what an acknowledgment has to contain or which gifts need one.
What gets checked
- Gifts at or above the amount plus gifts below it equal all gifts, by count and by amount.
- Complete plus incomplete gifts equal the gifts at or above the amount.
- Blank elements counted gift by gift equal blank elements counted column by column, on a separate pass.
- Every gift row was looked at exactly once.
- Gifts with a blank checklist element are reported as a warning with their count.
- Every row with data is accounted for: used, listed as left out (with its row number and the reason), or listed as unreadable. An unreadable row marks the result not verified.
How it works
- Open the gift list. Drop a .csv or .xlsx file with one row per gift. It is read in the browser.
- Check the column mapping. Donor name, gift date, and amount are matched from the header words. Any choice can be changed.
- Set your checklist. Type the gift amount to check from and tick the columns of your file that must not be blank. Both are your own choices and start empty.
- Review and export. Gifts at or above the amount with a blank checklist column are listed with the blank columns named, next to a count per column and the verification certificate. Download Excel or CSV, or print.
Worked example
A made-up gift list of seven gifts. The user sets the amount to $250.00 and ticks two columns of the file: Thank-you Sent and Mailing Address.
| File row | Donor | Amount | Mailing Address | Thank-you Sent |
|---|---|---|---|---|
| 2 | Avery Lindqvist | $250.00 | 12 Elm St, Fairview | 2026-01-15 |
| 3 | Blake Oyelaran | $100.00 | 48 Mill Rd, Fairview | 2026-02-05 |
| 4 | Avery Lindqvist | $500.00 | 12 Elm St, Fairview | 2026-03-22 |
| 5 | Casey Marchetti | $75.50 | 7 Harbor Ln, Fairview | |
| 6 | Blake Oyelaran | $300.00 | 48 Mill Rd, Fairview | 2026-06-16 |
| 7 | Casey Marchetti | $1,000.00 | 7 Harbor Ln, Fairview | |
| 8 | Avery Lindqvist | $125.25 | 12 Elm St, Fairview | 2026-12-28 |
Four gifts are at or above $250.00 (total $2,050.00) and three are below it (total $300.75), which together are all 7 gifts and $2,350.75. Three of the four have both columns filled. One is listed: row 7, Casey Marchetti, $1,000.00, with Thank-you Sent blank. Row 5 also has a blank but is below the amount, so it is not listed.
The example uses made-up names and numbers.
Questions
Does the tool know which gifts need an acknowledgment or what it has to say?
No. It holds no thresholds and no required wording. It compares your gift records with the amount and the list of columns you set, and reports blanks. What your organization puts on its checklist is its own decision.
What counts as blank?
A cell that is empty or holds only spaces. The tool does not judge whether the text in a filled cell is adequate.
Can I check columns the tool does not know about?
Yes. Every column in the file is offered as a checklist element by its header text, including ones your organization added, such as a letter date or a note about what the donor received.
This tool calculates and checks numbers. It is not legal, tax, or medical advice.
